Begin Bright is managed by Cognition Education (a company limited by guarantee, company number 9209758). Cognition Education is committed to protecting your privacy and personal data we hold. We will only use your information to help us deliver our activities and fulfil any contract we hold with you, provide a quality service and monitor the effectiveness of the programme.

To this end, Cognition Education, acting as Begin Bright (‘we’) are fully committed to compliance with the requirements of UK data protection law. We will follow procedures that aim to ensure that all staff members and trusted volunteers who have access to any personal data (including paper-based and computer records) held by or on behalf of Begin Bright and/or Cognition Education are fully aware of and abide by their duties and responsibilities under UK data protection law.

All personal information (including paper-based or computer records) will be handled in accordance with data protection law. Cognition Education has procedures and safeguards in place to ensure this.

Collecting personal data

Begin Bright collects personal data from parents/legal guardians, including, but not limited to: names, email addresses, phone numbers, postal addresses, details of others who are authorised points of contact if a primary contact is not available, your child’s name, your child’s date of birth, permission to administer first aid, and information on allergies, medical conditions and additional needs. This information may be collected directly from you or from other source and any other information which may be provided, and which is relevant to the education of your child.

We collect information directly from you when you contact Begin Bright about our activities, sign up to a mailing list, make a booking on our website, or send or receive information. This information may include your name, email address, postal address, date of birth, and any other details which you explicitly provide. This information might be submitted when you book a class on our website. 


Begin Bright will use the personal information referred to above for the purposes set out below. 

Begin Bright will not provide personal information for use by anyone else without your specific consent or unless this is necessary for health and safety reasons, to comply with child protection policies and procedures, otherwise in relation to child welfare and child protection, for example in cooperating with local and public authorities to comply with legal requirements and those of regulators, for example Ofsted, or unless it is otherwise provided for in this Privacy Notice.

To ensure vital interests:
 This relates to the health and safety of a child. For example, if there was a medical emergency Begin Bright may need to provide relevant medical information about a child to the emergency services.  Similarly, information may be provided to local or public authorities where welfare and child protection issues arise.

When it is Begin Bright’s legal duty:
 The Begin Bright may in very rare circumstances be required under safeguarding and child protection issues to provide information to local or public authorities including the police.

 

When you consent:
 There are certain uses to which Begin Bright will use personal information without your specific consent. Where such consent is required it will be sought separately. If consent is given it can be withdrawn at any time by providing notification to Begin Bright in writing or by email.

 

Using and sharing personal data

If you are booking a class with Begin Bright we use your personal data to process your booking, contact you in relation to your booking and respond to any enquiries you may have about your booking.

If your child attends Begin Bright classes, we use your personal data to obtain feedback, share updates on your child’s progress, contact you with information that you may find useful and relevant and to respond to any questions you may have.  

If you are interested in booking a Begin Bright class in the future, or your child has attended an open day or free trial class, we use your personal information to stay in touch with you, provide you with information that you may find useful and relevant, and to respond to any enquiries you may have.

We will not send you marketing messages such as newsletters or events unless you have opted in to receive these messages. 

We may share your personal data, such as your contact details and child’s name, with the Begin Bright venue in order to ensure that they have accurate details about you and your child.

We may also share your personal data with third parties who perform services on our behalf. For example, we may issue invitations to fundraising events or send newsletters through Mail Chimp and organize events through Bookeo. We will not send you marketing messages such as newsletters or events unless you have opted in to receive these messages.

If the Processing of the User Customer Data involves transfer of such data outside of the European Economic Area (EEA) and the European data protection regulations apply to the transfers of such data, these transfers will be conducted in compliance with all applicable data protection regulations.

With the exception of sending marketing messages, we use your personal data for all these purposes on the basis that it is in our legitimate interests to administer the booking process and Begin Bright classes efficiently. It is also in our legitimate interests to remain in contact with you in order to ensure that we are providing the best service possible, that any complaints or concerns can be dealt with promptly, and that our records are kept accurate and up to date.

 

Retention of personal data

We will keep your personal data as long as your child participates in Begin Bright classes, or for as long as you are a supporter or have indicated interest in attending Begin Bright classes in the future, for example by attending an open day or free trial class. When determining how long we will retain your data beyond this period, we take into account our legal obligations and the expectations of regulators, as well as how long we need to retain that data for our internal audit purposes. This is likely to mean that we will keep your data for at least a period of 12 months after you have originally submitted it, however it may be retained for a longer time period for the reasons specified above.

 

Your rights over your personal data

Please let us know if any of your personal data that we hold about you changes so that we can correct and update the information on our systems. You have the right to require Begin Bright to delete or update your personal data, including if and in what format you would like to be sent marketing communications.

You also have the right to ask us for a copy of the information we hold about you or ask us to correct it if you think it is wrong. In certain circumstances you may object to specific processing activities, require us to restrict how we process your personal information and ask us to share your personal information in a usable format with another company. Where you have given your consent to a particular type of processing, you may withdraw that consent at any time.

How to make a complaint

If you are unhappy with the service we provide in relation to your personal details, please contact us by emailing support@beginbright.com. You have the right to complain to the Information Commission if you have a problem accessing your personal information or have a concern about the way an organisation is handling your information. Please review this privacy statement from time to time to check whether we have made any changes to the way in which we use your personal information.
